How to Use a Universal Lock Box

Published in Key Management Systems 4 mins read

A universal lock box provides a secure and accessible way to store keys or small valuables, often used for temporary access by multiple individuals without the need for physical key handoff.

What is a Universal Lock Box?

A universal lock box is a portable, secure container typically made of durable metal, designed to hold keys, access cards, or other small items. It's commonly used by real estate agents, property managers, service personnel, or homeowners to grant temporary access to a property. Access is usually controlled by a numerical combination, making it a flexible solution for key management.

Step-by-Step Guide to Operating a Universal Lock Box

Using a universal lock box involves several key steps, from attaching it securely to opening and setting its combination.

1. Attaching the Lock Box (Hanging)

To securely attach the lock box to a fixture:

  1. Open the Lock Box: Access the internal mechanism, usually by entering the current combination.
  2. Locate Shackle Release: Find the shackle release button or lever inside the opened lock box.
  3. Release the Shackle: Push and hold the shackle release button. While holding it, pull the shackle upwards and completely out of its housing in the lock box.
  4. Position the Shackle: Place the freed shackle around a suitable fixture, such as a door lever handle, a railing, a fence post, or a gate.
  5. Secure the Shackle: Reinsert the shackle firmly back into the lock box until it clicks into place. Ensure it is fully seated and cannot be easily pulled out without pressing the release button again.

2. Opening the Lock Box and Storing Items

To access the contents or place items inside:

  1. Enter Combination: Dial or press the correct numerical combination to unlock the mechanism.
  2. Open the Door: Once unlocked, open the lock box door.
  3. Place Items: Carefully place keys, access cards, or other items into the designated compartment.
  4. Close and Scramble: Close the lock box door securely. If your lock box uses a dial combination, scramble the numbers to prevent unauthorized access. For push-button models, ensure the internal latch has reset.

3. Setting or Changing the Combination

Changing the combination is a crucial security measure. While specific steps may vary slightly by model, the general process involves:

  1. Open the Lock Box: Enter the current combination and open the lock box door.
  2. Locate Reset Mechanism: Inside the opened lock box, find the reset lever, button, or screw. This is often on the inside of the door or compartment.
  3. Activate Reset Mode: Move the reset lever to the "set" or "reset" position, press the reset button, or turn the reset screw (you may need a small tool like a pen).
  4. Enter New Combination: While in reset mode, enter your desired new combination using the dials or buttons. Choose a memorable but secure code.
  5. Deactivate Reset Mode: Return the reset lever or button to its original "lock" or "normal" position.
  6. Test New Combination: Crucially, close the lock box door and immediately test the new combination before scrambling the numbers or fully latching it. If it doesn't open, retrace your steps. Once confirmed, scramble the numbers to secure it.

Key Features and Benefits

Universal lock boxes offer several advantages:

  • Convenience: Provides key access to multiple authorized users without physical key exchange.
  • Security: Durable, weather-resistant construction often protects against tampering and the elements.
  • Flexibility: Easily attachable to various fixtures, making them adaptable for different locations.

Tips for Secure Use

  • Discreet Placement: Whenever possible, attach the lock box in a less conspicuous location to deter potential thieves.
  • Regular Combination Changes: Change the combination frequently, especially after contractors or temporary users have accessed it.
  • Limited Sharing: Only share the combination with trusted individuals who genuinely require access.
